Effective date: October 2026 · Cape Fairway Tours (Pty) Ltd, Cape Town, South Africa
1. Introduction
These Booking Terms & Cancellation Policy ("Terms") govern all golf packages, tee times, accommodation, transport and related services booked through Cape Fairway Tours (Pty) Ltd ("Cape Fairway Tours", "we", "us"). By making a booking — whether by email confirmation, online enquiry form, or payment of a deposit — you ("the Guest") accept these Terms in full.
2. Bookings & Deposits
- Confirmation: A booking is only confirmed once a non-refundable deposit (or full payment for bookings made within 30 days of travel) has been received and a written confirmation issued by Cape Fairway Tours.
- Deposit amount: A deposit of 30% of the total package price is required to secure tee times, accommodation and transport reservations.
- Balance due: The balance of payment is due no later than 30 days before the trip start date, unless otherwise agreed in writing.
- Payment method: Deposits and balances may be paid via EFT in South African Rand, or in the Guest's home currency by prior arrangement through our business forex facility.
- Currency & pricing: Prices are confirmed at the time of booking. Where a booking includes a currency conversion, the exchange rate used is fixed at the date of deposit payment unless stated otherwise.
3. Cancellation by the Guest
Cancellations must be submitted in writing by email to info@capefairwaytours.co.za. The effective cancellation date is the date we receive written notice, not the date of the trip. Refunds (where applicable) are calculated as follows:
| Time before trip start | Refund of deposit/payment |
| More than 60 days | Full refund, less a R500 administration fee |
| 30–60 days | 50% refund of monies paid |
| 14–29 days | 25% refund of monies paid |
| Less than 14 days / no-show | No refund — full amount forfeited |
Where a booking includes a non-refundable third-party cost (e.g. a pre-paid tee time at a course with its own strict cancellation terms), that specific cost may be forfeited in full regardless of notice period, in addition to the schedule above.
- Travel insurance: We strongly recommend all Guests, particularly international travellers, take out comprehensive travel insurance covering trip cancellation, medical emergencies, and lost deposits.
4. Changes to a Booking
- By the Guest: Requests to change dates, group size, or package details must be made in writing. We will do our best to accommodate changes, subject to course and accommodation availability, and a R500 amendment fee may apply.
- Late changes: A change made less than 14 days before the trip start date may not be possible without incurring cancellation charges on the original booking.
5. Cancellation or Changes by Cape Fairway Tours
- Supplier cancellation: If a course, accommodation provider, or transport partner cancels or becomes unavailable for reasons outside our control, we will offer a comparable alternative wherever possible, at no extra cost to the Guest.
- No alternative available: Where no suitable alternative is available, we will refund the amount paid for the affected portion of the trip in full.
- Guest costs: Cape Fairway Tours is not liable for any additional costs the Guest incurs as a result of a change (e.g. flight rebooking fees) unless the change was due to our negligence.
6. Weather & Course Closures
- Rebooking: Golf is a weather-dependent activity. Where a round is cancelled or curtailed by the course due to weather, course maintenance, or conditions outside our control, we will attempt to rebook the round for another day within the trip itinerary where possible.
- No rebooking possible: If no rebooking is possible within the trip dates, we will seek a pro-rata refund from the course on the Guest's behalf for the unplayed round; any refund received will be passed on to the Guest less a reasonable administration cost.
- Our responsibility: Cape Fairway Tours is not responsible for weather conditions themselves, nor for a course's own weather or playability policies.
7. Group Bookings
- Lead booker: One member of the group must be designated as the lead booker and is responsible for full and accurate payment on behalf of the group, and for communicating these Terms to all members.
- Partial group cancellation: Where individual members of a group cancel while others continue with the trip, the cancellation schedule in Section 3 applies to that individual's portion of the booking; remaining group rates may be adjusted if the group size changes materially.
8. Conduct & Course Rules
- Course rules: Guests agree to abide by the rules, dress codes, and etiquette of each golf course visited. Cape Fairway Tours is not responsible for a Guest being denied play due to non-compliance with a course's own dress code or conduct rules.
- Right to refuse service: Cape Fairway Tours reserves the right to remove a Guest from a trip without refund in cases of serious misconduct, illegal activity, or behaviour that endangers other guests, staff, or course/property.
9. Liability
- Third-party services: Cape Fairway Tours acts as an intermediary arranging services provided by independent third parties (golf courses, accommodation providers, transport operators). We are not liable for the acts, omissions, negligence, or default of these third-party suppliers, except where required by South African law.
- Personal risk: Guests participate in golf and related activities at their own risk. Cape Fairway Tours carries public liability insurance but strongly recommends Guests hold their own travel and medical insurance.
- Statutory rights: Nothing in these Terms excludes or limits liability that cannot lawfully be excluded under the laws of South Africa, including the Consumer Protection Act 68 of 2008 where applicable.
10. Force Majeure
Cape Fairway Tours is not liable for failure to perform any obligation due to circumstances beyond its reasonable control, including but not limited to natural disasters, extreme weather, pandemic, civil unrest, strikes, or government travel restrictions. Where a trip is affected by such an event, we will work with Guests in good faith to reschedule or provide credit where possible, but refunds in these circumstances are not guaranteed and will depend on what can be recovered from third-party suppliers.
11. Governing Law
These Terms are governed by the laws of the Republic of South Africa. Any disputes arising from a booking will first be addressed through good-faith direct negotiation between the parties before any formal legal proceedings are pursued.
